The term of office of each director shall be for two year staggered terms beginning on the first day of August and ending on July 31.  The terms of the Vice President, Secretary, Director of Fields, and Director of Coaches, shall end in odd numbered years, and the terms of the other directors shall end in even numbered years.  All directors shall be elected at a meeting to be held prior to August 1. The President shall appoint a nominating committee at or prior to the April Board of Directors meeting. The ballot submitted by this committee shall be presented to the Board in May.  If you are interested in running for a director position please contact the AYSA President.

 

 

DUTIES OF DIRECTORS

 

PRESIDENT:  The President shall preside at all meetings of AYSA members and meetings of the Board of Directors.  The President shall be an ex-officio member of all committees.  The President shall have the power to call special meetings upon due notice to the membership. The President shall sign all documents which the Board has authorized to be executed and shall approve all correspondence and publications prepared for the AYSA before issuance.  The President shall perform all duties as are customarily entrusted to and performed by the President of the organization, including representation of AYSA at meetings where AYSA representation is required.  The President may appoint a person or committee, with the approval of the Board, to help with the duties of the President.  The President is a member of any committee appointed. 

 

VICE-PRESIDENT:  The Vice President shall perform all of the duties of the President when the President is absent from a meeting of the members, a special meeting or a meeting of the Board of Directors.  The Vice President shall be responsible for representing AYSA at any meetings of other soccer organizations with which AYSA has a business or other relationship, or the Vice President may designate another Board member or member of AYSA to act as the AYSA representative.  The Vice President shall be responsible for media contact, fund raising, and managing the concession stand.   The Vice President shall perform those other duties as assigned by the Board, and may appoint a person or committee, with the approval of the Board, to help in the performance of the duties of the Vice President.  The Vice President shall be a member of any committee appointed.

 

SECRETARY: The Secretary shall attend all meetings of AYSA members, special meetings, and meetings of the Board of Directors.  The Secretary shall maintain a list of all current AYSA members.  The Secretary shall keep records of all proceedings at such meetings in the minute books kept for that purpose.  The Secretary shall handle all correspondence, serve notices, and provide and keep a membership roster of all members of AYSA.  The Secretary shall prepare an annual report of Board activity and coordinate with the state association for review of AYSA records.  The Secretary may appoint a person or committee, with the approval of the Board, to help with the duties of the Secretary.  The Secretary shall be a member of any committee appointed.

 

TREASURER: The Treasurer shall have custody of the AYSA's checking account, scholarship account, and other financial accounts, as well as all financial records.  The Treasurer shall keep full and accurate records and accounts of all receipts and disbursements belonging to the AYSA under the AYSA name and shall prepare monthly written reports of the financial status of the organization, including actual bank statements reconciling such reports.  Checks issued by the AYSA of $500 or less shall be signed by the Treasurer.  Checks issues by the AYSA of more than $500 shall be signed by the Treasurer and another member of the Board.  The Treasurer shall be responsible for ensuring that the necessary federal and state income tax forms are prepared and filed, and any other reports required by the Iowa Secretary of the State or other governmental agency.  The Treasurer may appoint a committee or person, with the approval of the Board, to help in the performance of the duties of the Treasurer.  The Treasurer shall be a member of any committee appointed.

In the event of the inability of the Treasurer because of absence or incapacity to sign checks issued by AYSA the President shall have the authority to sign in the place of the Treasurer. 

 

DIRECTOR OF EQUIPMENT: The Director of Equipment shall be responsible for the purchase, maintenance and care of all facilities and equipment, uniforms, buildings, and gyms for use in practices, soccer camps and games.  The Director of Equipment may appoint a committee, with the approval of the Board, to help in the performance of the duties of the Director of Equipment.  The Director of Equipment shall be a member of any committee appointed.

 

DIRECTOR OF FIELDS:  The Director of Fields shall be responsible for the maintenance and care of the soccer game fields, practice areas, and other areas provided by AYSA for the use of the teams sponsored by AYSA.  The Director of Fields shall be responsible for coordinating care of the fields and practice areas with the City of Altoona and any other organization or entity as necessary.  The Director of Fields is responsible for ensuring the goals used for games and practice on the AYSA fields conform to FIFA rules and are safe and properly maintained.  The Director of Fields may appoint a person or committee, with the approval of the Board, to help with the maintenance of the soccer fields and practice areas.  The Director of Fields shall be a member of any committee appointed.

 

DIRECTOR OF REGISTRATION: The Director of Registration shall be responsible for coordinating the registration for each soccer season, and preparing a list of all players and teams for each season.  The Director of Registration shall coordinate with the Vice President to ensure that the media is properly notified of registration dates and all necessary forms and information is available for registration.  The Director of Registration is a member of the Team Formation Committee and shall coordinate with the Director of Coaches to ensure that all teams formed shall have the proper number of players and qualified coaches.  The Director of Registration shall be responsible for determining the eligibility for scholarships and may request Board assistance if necessary.  The Director of Registration shall be responsible for registering all players with the state association and coordinating with other soccer associations necessary for scheduling of games.  The Director of Registration may appoint a person or a committee, with the approval of the Board, to help with the duties of the Director of Registration.  The Director of Registration shall work with any support person contracted with by the Board to coordinate registration.  The Direct of Registration shall be a member of any committee appointed.

 

DIRECTOR OF COACHES.  The Director of Coaches shall be responsible for the ensuring that all teams established by AYSA have coaches that meet the qualifications of the AYSA.  The Director of Coaches shall be responsible for all coaches completing the necessary forms to coach a team for AYSA.  The Director of Coaches shall be a member of the Team Formation Committee and shall coordinate with the Director of Registration to ensure that teams have the proper number of players and qualified coaches.  The Director of Coaches shall plan and coordinate clinics for coaches and shall recommend to to the Board standards for coaches.  The Director of Coaches may appoint a committee, with the approval of the Board, to help with the coordination and activities of coaches.  The Director of Coaches shall be a member of any committee appointed.

 

DIRECTOR OF COMPETITION:  The Director of Competition shall be responsible all player clinics, coordination with any competitive teams playing under AYSA, and for ensuring that qualified referees are scheduled for all AYSA games that require referees.  The Director of Competition is responsible for providing support and information to any team comprised of players eligible for AYSA membership who have formed a team to participate in tournaments, leagues, or other games.  The Director of Competition may appoint a person or committee to help with these activities.  The Director of Competition shall be a member of any committee appointed.
